Optimization Guide for NY Businesses

Your Google Business Profile is your single most powerful free marketing tool. Most New York businesses have one — but most have it set up wrong. Here's how to do it right.

Before a customer picks up the phone or visits your website, they've usually already formed an opinion about your business — based on your Google Business Profile. Your profile shows up in Google Maps, in local search results, and increasingly in AI-generated answers. Getting it right is not optional.

Here's the complete optimization checklist for 2025.

1. Verify Your Business

If your GBP isn't verified, Google will limit its visibility. Verification confirms to Google that you're the legitimate owner of this business listing. Go to business.google.com and follow the verification process — typically via postcard, phone, video, or instant verification for eligible businesses.

2. Choose the Right Business Categories

Your primary category is one of the most powerful ranking factors in your GBP. Choose the category that most precisely describes what you do — not what sounds most impressive. If you're a pest control company, "Pest Control Service" outperforms "Exterminator" in most searches. You can add up to 9 secondary categories for additional services.

3. Complete Every Field

Google rewards complete profiles. Make sure these are filled out:

  • Business name (exactly as it appears on your signage and website)
  • Address (if you have a physical location customers visit)
  • Service area (all cities and zip codes you serve in New York)
  • Phone number (local number preferred over toll-free)
  • Website URL
  • Business hours (including holiday hours)
  • Business description (750 characters — use your top keywords naturally)
  • Services list (with descriptions and prices where applicable)
  • Attributes (e.g., "Women-owned," "Veteran-led," "Offers online estimates")

4. Upload Professional Photos — and Keep Adding Them

Google's own data shows that businesses with photos receive significantly more requests for directions and website visits than those without. Upload:

  • Cover photo (the hero image — make it your best shot)
  • Logo (in the correct dimensions)
  • Exterior photos (helps customers recognize your location)
  • Interior photos (builds trust and sets expectations)
  • Team photos (humanizes your business)
  • Photos of work being done (demonstrates expertise)
  • Before/after photos (if applicable)

Aim for at least 20 photos to start, and add new ones monthly. New photos signal an active, maintained profile.

5. Generate and Respond to Reviews

Reviews are the most visible part of your GBP and one of the strongest ranking signals. Here's the 2025 review strategy:

  • Create a short Google review link (use Google's review link generator in your GBP dashboard) and share it via text after every job
  • Respond to every review — positive and negative — within 24 hours
  • For negative reviews: acknowledge the issue, apologize sincerely, and offer to make it right offline
  • Never offer incentives for reviews — this violates Google's terms and can result in suspension
  • Aim for 5+ new reviews per month to stay competitive in most New York markets

6. Post Weekly Google Updates

GBP Posts are a social media-style feature that many businesses ignore entirely. Publishing weekly posts signals to Google that your profile is active and current. Post types include:

  • What's New — Company updates, news, or seasonal information
  • Offer — Special promotions or limited-time deals
  • Event — Upcoming events or webinars

Each post should include a relevant image and a clear call to action (call us, book online, learn more).

7. Use the Q&A Feature

The Q&A section of your GBP lets anyone ask — and answer — questions about your business. Proactively add your own questions and answers here. Think of the most common questions your customers ask before booking, and answer them. This content can also show up in AI search answers.

8. Enable Messaging

Google allows customers to send you messages directly through your GBP on mobile. Many New York customers (especially millennials and Gen Z) prefer to text rather than call. Enable messaging and respond promptly — Google tracks your response time and can demote profiles that consistently don't respond.

9. Add Products and Services

Both the Products and Services sections allow you to list specific offerings with descriptions, prices, and photos. A pest control company might list: "Ant Extermination," "Termite Treatment," "Rodent Control," "Bed Bug Treatment," etc. This gives Google more keyword signals and helps customers understand what you offer at a glance.

Monthly Maintenance Checklist

  • Add 3–5 new photos
  • Publish 4 GBP posts
  • Respond to all new reviews
  • Update hours for upcoming holidays or seasonal changes
  • Check for and respond to any Q&A questions
  • Review your GBP insights (search queries, how customers found you)
